Really Simple Systems integrates seamlessly with KashFlow accounting software. Integrating KashFlow with Really Simple Systems makes running a small business easy, without needing any accounting or bookkeeping knowledge.
KashFlow integration with your CRM means you can create invoices and quotations directly from your CRM Opportunities. Please note, the KashFlow integration is only available for UK based customers.
To integrate your CRM with KashFlow go to Settings / Integrations, open Accounting Software then select the blue ‘Setup’ button. Then follow the on-screen instructions to link your system.
Setting up the KashFlow integration
Then to integrate your CRM system with KasFlow, go to Settings, Integrations and select Accounting Software. Then click on the blue “Setup KashFlow” button.
Next enter your KashFlow login details and click Save.
Then follow the instructions on your screen.
You can add your CRM Accounts to your KashFlow Customers, and update KashFlow Customers that are already linked, from the Accounts page.
If the Ledger Code on the Account page is blank, or does not exist in KashFlow, then the “Add to KashFlow” button will appear on the Account page. Clicking the button will bring up a dialogue box asking you to confirm the creation of the Customer in KashFlow, and allowing you select which Contact will be passed.
If the Ledger Code is blank then KashFlow will create a default Customer Code and the Account will be updated with that Code. If the Ledger Code has a value then that value will be used for the KashFlow Customer Code.
If the Ledger Code on the Account page has a Customer Code that is present in KashFlow, then an “Update KashFlow” button will appear on the Account page. Clicking the button will bring up a dialogue box asking you to confirm the update to the Customer in KashFlow, and allowing you select which Contact will be passed.
When you add or update a Customer the Customer Notes in KashFlow will show the time, date and user who made the update change.
Adding KashFlow Customers to the CRM system
If you are already using KashFlow and have KashFlow Customers who are also CRM Accounts, then you can link the two simply by entering the KashFlow Customer Code into the Ledger Code field on the Account.
Importing KashFlow Customers into your CRM
If you are an existing KashFlow user and new to Really Simple Systems CRM, you can import all your Customers from KashFlow directly. In CRM Settings / Integrations, open the go to Manage KashFlow Information and click Import. The next screen gives you the option to “import the standard fields from Kashflow” (KashFlow Standard Fields) or to ” to import standard fields and additional custom fields from Kashflow”. This option enables you to match the CRM Custom Fields with the Fields in KashFlow.
If you prefer you can also export the data from KashFlow as a csv file and then import them to your CRM using the standard Data Import function.
Adding Quotes and Invoices from Opportunities
You can create KashFlow Quotes and Invoices from Really Simple Systems from Opportunities. At the bottom of the Opportunity page you’ll see two extra buttons, Quote and Invoice. Clicking the appropriate button will generate a Quote or an Invoice in KashFlow.
VAT will automatically be added unless you are not registered (as defined in the KashFlow Settings); or the Customer is defined as being outside of the EC; or the Customer is defined as being in the EC and has a VAT number.
The KashFlow Standard Fields are:
To add in your own Reference field into an invoice, go to Settings / System Settings, open the Custom Fields section and select the Opportunity data table. Create a custom field by overwriting the ShortDescription, LongDescription, and ensuring the Live box is ticked. Select the Type dropdown to be ‘LedgerReference’. This will then appear on your Opportunity screen and allow you to enter in your own Reference. Create your invoice in Kashflow and the Reference will appear on the invoice.
